Documents from Japan to India

Actual Weight and Volumetric Weight

International air freight is charged on the higher of actual weight or volumetric weight. A big, light box of pillows and winter clothing can therefore cost more than the number on your bathroom scale suggests. Measure the outside of the sealed carton – length, width and height – not the items inside it. Our package measurement guide shows the exact figures we need to quote accurately the first time.

What the Freight Rate Does Not Include

The table above is a freight guide. It is not a promise that a shipment is duty-paid or automatically cleared. Additional costs can apply where relevant:

  • Indian customs duty and IGST, which the receiver normally pays on arrival.
  • Customs examination, storage or bond charges if a consignment is held for questions.
  • Remote-area delivery in India or a re-delivery after a failed attempt.
  • Special handling for oversized, fragile or awkwardly shaped cargo.
  • Corrections caused by an incomplete address, a wrong PIN code or a vague contents description.

Japanese Export Rules Before Your Parcel Leaves

Every parcel leaving Japan is an export, even a small gift box. Getting the Japanese side right is what keeps the shipment moving on schedule.

Your Export Declaration Must Match the Contents

Japan Customs requires exporters to declare the nature, quantity, price and other necessary particulars of the goods, supported by an invoice and any permit or approval that applies. You can read the official Japan Customs export procedures and the list of documents required for an export declaration before you book. We prepare the paperwork with you, but nobody can amend a declaration afterwards to make a restricted item look ordinary.

Goods Japan Prohibits from Export

Under the Customs Act, Japan prohibits the export of narcotics, cannabis, opium and stimulants, child pornography, goods that infringe patents, trademarks, designs or copyright, and goods involved in unfair competition. Other laws – including the Plant Protection Act and the Act on Domestic Animal Infectious Diseases Control – add further bans. Goods That May Need a Ministry Permit

Depending on the cargo, an export may need a permit or approval from another ministry before the customs declaration is even filed. Two matter most for parcels to India. Dual-use technology, precision equipment and certain electronics fall under METI security and trade control. Plants, seeds, wooden items and agricultural products need an inspection and a phytosanitary certificate from a MAFF Plant Protection Station; animal-derived products fall under the Animal Quarantine Service export rules. Tell us early if your parcel touches any of these categories.

Do Not Pack Cash or Valuables

Cash, cheques, promissory notes, securities and gold bullion are not courier items. Japan Customs applies specific declaration rules to means of payment above ¥1 million, as set out in its passenger clearance guidance, and no carrier accepts liability for currency in a box. Use a bank for money.

Indian Customs KYC and Duty

This is the section most senders skip and later regret. Indian import rules changed significantly in recent years, and a receiver who is not warned in advance is a receiver who refuses the parcel at the door. Courier shipments are governed by the Customs Act, 1962, the Courier Imports and Exports (Electronic Declaration and Processing) Regulations, 2010, and current CBIC and DGFT policy.

KYC Requirements Before Release

Your receiver in India must provide identity and address proof before customs will release a non-document consignment. One valid document is enough if it shows both identity and address. If the address on the ID is out of date, the courier records the actual delivery address alongside the ID, and that combination completes the KYC. These requirements come from CBIC circulars and are summarised in the official Customs FAQ on gifts and personal imports through courier.

Tell your receiver on booking day. A parcel held for missing KYC can accrue storage charges while it waits. Two minutes on the phone in Japan saves days in an Indian bond store.

Duty Your Receiver May Pay

Documents are duty-free. Everything else is assessed on the CIF value – the cost of the goods plus insurance and freight. The current published duty structure for courier consignments is set out below.

As a worked example from the same official FAQ: a gift with a CIF value of 10,000 attracts 2,000 ₹₹basic customs duty and 3,360 IGST, giving 5,360 payable before delivery. Duty is assessed by Indian ₹₹ customs, not by us, and we have no power to reduce it. What we can do is warn you before you ship so nobody is surprised at the door.

Gifts Sent by Courier Are Not Duty Free

This is the single biggest misunderstanding on this route. The old 5,000 duty-free gift allowance no ₹longer works. Under DGFT Notification 35/2015-2020 read with CBIC Circular 4/2020-Customs, importing goods through post or courier where clearance is sought as a gift is prohibited, except for life-saving drugs and medicines and Rakhi. Gifts can still be imported freely on payment of the full applicable duty – which is the route almost every family shipment takes. Plan for the duty rather than hoping to avoid it.

Transfer of Residence Rules for Returning Passengers

Transfer of Residence relief sits under the Baggage Rules, 2016, which apply to a returning passenger’s accompanied and unaccompanied baggage – not to an ordinary courier consignment. Unaccompanied baggage must have been in your possession abroad and must be dispatched within the timeframe the rules allow around your travel date. If you are relocating from Japan permanently, call us before you pack so we can advise which route fits your dates and which one does not.

Commercial Importers Should Check the Policy Before Dispatch

For resale goods, samples with a commercial purpose or regulated products, the Indian importer should confirm the current import policy on the DGFT portal before you book. An IEC, GSTIN, licence, registration, BIS certification or product approval may apply depending on the item. Do not mix commercial goods and personal gifts in one carton – that combination invites questions at assessment. Consignment progress on the Indian side can be followed through ICEGATE, and any grievance can be raised through CPGRAMS.

Prohibited and Restricted Items from Japan to India

Air cargo safety rules and two sets of customs regulations apply to every box. Read this list before you pack, not after.

Items You Should Not Pack

  • Batteries of any kind – lithium, rechargeable, button cells – and battery-powered equipment.
  • Flammable goods: perfumes, aerosols, deodorants, nail polish, lighters, matches.
  • Jewellery, precious or costume, and watches of any type.
  • Gold, silver, platinum and other precious metals; diamonds and precious or semi-precious stones.
  • Cash, cheques, securities, treasury notes, vouchers and stamps.
  • Alcohol, tobacco, vaping products and e-liquids.
  • Firearms, replica weapons, ammunition, explosives and dangerous goods.
  • Narcotics, illegal drugs and drug paraphernalia.
  • Counterfeit or pirated goods, and anything infringing a trademark or copyright.
  • Ivory, furs, protected wildlife products and antiques.
  • Live plants, seeds, soil, fresh produce, meat, dairy and homemade food.
  • Human or animal remains and ashes.

Items That Need a Pre Check Before Booking

These are not automatic refusals, but they need an acceptance check on the specific product, brand, ingredients and quantity.

  • Japanese snacks, matcha, tea and packaged food. Food imports into India are regulated. Check requirements with the Food Safety and Standards Authority of India and send us the product label first.
  • Vitamins, supplements and medicines. Personal-use quantities follow a specific process; see the CDSCO guidance for drugs imported for personal use. A prescription and documentation may be needed.
  • Cosmetics and skincare. Non-aerosol, non-flammable, sealed and branded products only, subject to Indian import rules.
  • Phones, laptops, cameras and smart watches. Battery rules and import requirements apply. Share the brand, model and battery details.
  • Wireless devices, routers and drones. Radio-enabled equipment may need equipment type approval; see the Department of Telecommunications.
  • Wooden items, bamboo and craft goods. These can trigger plant quarantine inspection in Japan before export.

Pack and Measure Your Parcel the Right Way

A well-packed, well-described box clears customs faster and arrives intact. Three habits do most of the work.

Use a Strong Box

Use a strong, clean double-walled carton. Wrap fragile items individually, fill every empty space so nothing shifts, and tape all seams – top, bottom and sides. Remove old shipping labels and barcodes so the box cannot be misrouted. Our packaging guide shows the standard we expect to see at collection.

Write a Clear Customs Description

Describe the material, the item, the quantity, the purpose and a realistic total value in plain English. “Three used cotton shirts, personal use” works. “Five stainless-steel non-electric kitchen utensils” works. “Miscellaneous”, “Japanese goods”, “spares” and “gift” do not. Your declaration, invoice and packing list should all tell the same story.

Check the Address and Phone Number

For the sender in Japan we need the full name, building or apartment number, street, city, prefecture, postcode, mobile number and email. For the receiver in India we need the full name, flat or house number, street or locality, city, state, six-digit PIN code, a reachable mobile number and an email address. An unreachable phone number holds up a parcel even when everything inside it is perfectly acceptable.

Track Your Japan to India Courier

What the common statuses mean: “in transit” means the parcel is moving through the carrier network; “clearance in progress” means customs or the courier is reviewing the paperwork; “out for delivery” appears only after clearance is complete. Do not assume they are accepted. Food products are regulated on import into India and some are unsuitable for a standard courier route. Send us the product name, ingredients, packaging details and quantity for a pre-check before you book.

Do you collect from my address in Japan?

Tell us your postcode and we will confirm the collection or handover arrangement available for that address. We quote for shipments across Kanto, Kansai, Chubu, Kyushu, Chugoku, Shikoku, Tohoku and Hokkaido.

Is it cheaper to send one big box or several small ones?

A combined consignment can reduce the effective rate per kilogram, based on the provided rate card. The final comparison depends on chargeable weight, carton dimensions and any handling fees, so request a combined quote before packing.

Can I ship my household goods when moving back to India?

Yes, and we handle relocations from Japan regularly. Transfer of Residence relief under the Baggage Rules applies to a returning passenger’s baggage rather than to a courier consignment, so call us before you pack and we will explain which route suits your travel dates.

How do I track my shipment?

Keep the air waybill number issued at booking and enter it on our courier tracking page. Share the number with your receiver in India as well, so they can act immediately if customs requests information.

What happens if my parcel is held by customs in India?

Customs or the courier will request KYC, an invoice or a clearer product description. Respond the same day with clear copies. We guide you through what is being asked and why.

Do you ship commercial cargo from Japan to India?

Yes. Send us the product name, quantity, model, country of origin, purpose and value and we will quote against the correct classification. Your Indian importer will normally need an IEC and GSTIN.
